Being straight with you

  • Profit & Loss summary is available early; full statements (Trial Balance, Balance Sheet, Cash Flow, schedules) are Samridhi and above.

The four reports your CA actually asks for

There are dozens of reports, but four do most of the work. Here's what each one answers, in plain English.

Profit & Loss, plainly

Read it top to bottom: income (sales), minus the cost of what you sold, gives gross profit; minus your other expenses (rent, salaries) gives net profit — the real bottom line.

Gross profit is before overheads; net profit is after. A business can have healthy gross profit and still lose money if overheads are too high.

Balance Sheet: what you own and owe

A snapshot at a point in time: your assets (cash, stock, what customers owe you, equipment) on one side, and your liabilities (what you owe suppliers, loans) plus your capital on the other. The two sides must balance — hence the name.

Cash Flow & Trial Balance

Cash Flow shows where money moved — useful when you're profitable on paper but short on cash. The Trial Balance lists every account balance and is the reconciled starting point your CA uses to finalise your accounts.

Sharing with your CA: access vs export

Two clean options. Either download the reports as PDF/Excel and send them, or give your CA a login with the right role so they pull exactly what they need themselves — no back-and-forth, no stale files.

Troubleshooting

The Balance Sheet doesn't balance

Fix: Usually a missing opening balance or an unrecorded entry. MGH Books flags the difference — add the missing item and regenerate.

A report looks empty

Fix: Check the date range, and that transactions for the period are entered (not left as drafts).

Report numbers differ from my GST return

Fix: Because both come from one set of books they should match; a draft invoice or an unrecorded credit note is the usual cause.

Trial Balance
A list of all account balances that should tally — the CA's starting point.
Profit & Loss
Income minus costs and expenses for a period — did you make money.
Balance Sheet
