MGH AI Suite
Think of the AI Suite as a sharp assistant who has quietly read all your books and is ready to answer "how's my business doing?", "who's slow to pay?", "what price should I charge?", "is this invoice odd?" — in seconds. It works on the data you've already entered, suggests and drafts, and always leaves the final decision to you.
First, the big picture (read this if nothing else)
You don't need to be "techie" to use this. Every AI tool here does the same basic thing in three steps:
It reads your existing data
Your invoices, bills, expenses, parties and stock — the things you already entered while running your business. You don't feed it anything special.
It thinks and gives you something useful
A report, a score, a forecast, a draft message, or a suggestion — in plain language.
You decide what to do
The AI never changes your books, sends a message, or files anything by itself. It hands you the result; you choose to act on it (or not).
So there's no risk of it "messing up your accounts". The worst that happens is a suggestion you ignore.
- It assists, it doesn't decide. Treat every output as a helpful draft or second opinion — not gospel. Always apply your own judgement, especially on tax.
- It is not a replacement for your CA. Tax tips and filing checklists are starting points to discuss with a professional, not final advice.
- It only knows what you've entered. Thin data = thin insights. The more you record, the smarter the results.
- It needs the internet. AI tools talk to a server, so they don't run offline.
- It's metered. Each plan includes a number of AI uses ("calls") per month — see the next section. This is normal and resets monthly.
- It never auto-changes your data or auto-sends messages. You stay in control.
How "AI calls" and limits work (so nothing surprises you)
Every time you run an AI tool, it uses one "AI call". Your plan includes a set number of calls per month. At the top of the AI panel you'll always see:

- "Calls left" = how many AI uses you have remaining this month.
- When it reaches zero you'll see "Monthly AI call limit reached. Limit resets next month." — this is expected, not an error.
- The counter resets at the start of each month. Higher plans include more calls.
- Browsing a result you already generated doesn't cost a call — only running a tool does.
Enter your invoices and expenses first, then run a tool — you'll get a far richer result from the same single call.
Opening the AI Suite
Open the AI Assistant
From the app menu, open 🤖 AI Assistant. A panel slides up titled "🤖 AI Suite — MGH Books" showing your plan and calls left.
Pick a tool
You'll see the list of AI tools, each with a small plan badge. Tools your plan includes are tappable; tools above your plan look greyed out.
Run it and read the result
Tap a tool. It analyses your data and shows the result in the panel. That's it — read it, act on it if useful.

Wait a moment
It reads this period's sales, expenses and profit and composes its findings. This uses one AI call.
Read the findings
You'll get plain-language notes — e.g. "Revenue is up 12% but expenses rose 20%; margins are tightening" — with the figures behind them.
Act on it
Decide what to do: trim a cost, chase a debtor, raise a price. Nothing changes in your books unless you change it.

Is my business data safe? Is it used to train anything?
AI tools send only what's needed to produce your result and return it to you. Treat the AI like any online feature: it needs a connection to work. If data handling matters for your compliance, see the Backup & Data guidance and ask us directly — we'll answer honestly.
Why is a tool greyed out?
Two reasons: (1) it needs a higher plan than yours — the badge shows which; or (2) you've used up this month's AI calls. Upgrade for more capability/quota, or wait for the monthly reset.
It said "monthly AI call limit reached" — did something break?
No. You've simply used this month's included AI runs. The limit resets next month; higher plans include more.
How accurate are the predictions and tips?
They're informed estimates based on your data and sensible rules — useful for direction, not guarantees. For anything with legal or tax consequences, confirm with your CA.
Can the AI file my GST or send my reminders for me?
No. It drafts the reply or reminder; you review and send. It prepares filing steps; you file. This is deliberate — you stay in control.
I ran a tool and got little/nothing useful.
It usually means there isn't enough data yet. Record more invoices/expenses for the period and run it again.
Does it work offline?
No — AI tools need an internet connection. The rest of MGH Books works offline.
Tips to get the most from it
- Feed it first. Keep invoices, bills and expenses up to date — every tool gets sharper.
- Use the right tool for the moment: month-end → Business Audit; before a big order → Cash Flow Prediction; chasing dues → Follow-up Generator; new product → Price Suggestion.
- Always sanity-check tax outputs with your accountant before acting.
- Spread your calls across the month so you have quota when you need it.
- Sales & Parties → customer scores, follow-ups, anomaly checks.
- Purchases & Items → reorder alerts, vendor scores, OCR bills.
- Reports & GST → audit, cash-flow, tax tips, notice replies — see CA Reports and GST & e-Invoice.
